Sacred Ode to Gaia LLC respects the trust involved in sharing personal information. This policy explains what we collect through sacredodetogaia.com and connected services, why we use it, and the choices available to you. Offerings clearly identified as belonging to Sacred Ode to Gaia Botanicals LLC are also covered when information is collected through this website.
Information we collect
- Contact and account information: name, email address, telephone number, mailing or billing address, username, and account preferences.
- Purchase and transaction information: products or services selected, order and invoice details, payment status, delivery information, and support history. Payment processors handle payment-card information; we do not intentionally store complete card numbers.
- Appointment and participation information: requested service, appointment date and location, consultation selection, responses to intake questions, required acknowledgments, electronic-consent records, accessibility requests, and information you choose to share for safe participation.
- Membership and communication information: membership status, downloads, email preferences, messages, form submissions, and responses to transactional or promotional communications.
- Website and device information: IP address, browser and device information, cookies, login activity, pages visited, referring links, and security or diagnostic data.
Sensitive information
Please do not upload or email an ID image, date of birth, full payment-card number, password, Social Security number, or other unnecessary identity document.
Sacred Ode to Gaia mobile app
The Sacred Ode to Gaia app uses your email address and account ID for sign-in, account security, and requested features. You may add a name for personalization. The app records content identifiers and delivery times, Return Path history, and subscription entitlement and transaction status to provide and restore access and avoid repeating daily content. Apple or Google processes in-app payments; we do not receive your complete payment-card number.
Journal writing stays on your device unless you choose to sync an entry to your app account. Synced reflections are stored with your account so you can return to them. Writing may contain personal beliefs or other sensitive details; choose what you want to share. The optional Your Sky Within profile, including birth date, birth time, city, and country, is saved on your device for requested reflections and can be removed in the app. We do not use private journal writing to select advertising, train a model, score you, or determine spiritual meaning. App activity and journal content are not sold or used for cross-app advertising or tracking.
Supabase provides app authentication, storage, and related backend services. Apple and Google provide their respective in-app purchase systems. Device-only journal entries remain on your device until you delete them or clear local app data. Deleting your app account removes synced journal entries and associated app history, subject to limited transaction, security, and legal retention; device-only entries remain on that device. Separately purchased website resources are governed by the website account and are not deleted by app account deletion. You can request access, correction, or deletion through the contact methods below and use the app’s account-deletion control.
How we use information
We use information to provide and improve the website and offerings; process orders, invoices, memberships, and payments; schedule and administer appointments; deliver digital products and service communications; respond to questions and accessibility requests; maintain required agreement and transaction records; prevent fraud and misuse; secure accounts; comply with tax, accounting, legal, and regulatory duties; and establish, exercise, or defend legal claims.
We use email for transactional messages related to purchases, appointments, access, safety, and requested support. With consent or as otherwise permitted by law, we may send newsletters or promotional messages. You may unsubscribe from promotional email at any time; necessary transactional messages may still be sent.
Cookies and similar technology
Necessary cookies support login, cart, checkout, membership, security, accessibility preferences, and site operation. Analytics or embedded services may use cookies or similar technology to understand site use or provide their features. Browser settings can limit cookies, but doing so may prevent account, checkout, scheduling, or media features from working properly.
Service providers and disclosures
We disclose information only as reasonably necessary to operate the business, complete a transaction, comply with law, protect safety and rights, or respond to your request. Depending on how you interact with us, providers may include WordPress and website hosting services; WooCommerce; Stripe and WooPayments; Acuity Scheduling; Fluent Forms and FluentCRM; Jotform; Resend; business email providers; delivery carriers; analytics, spam-prevention, security, backup, and technical-support services; and professional advisers.
These providers process information under their own terms and privacy practices. When applicable law requires it, service-provider relationships will be governed by agreements addressing processing instructions, confidentiality, security, retention or deletion, and each party’s responsibilities. We may also disclose information when required by law, legal process, or a valid government request; to investigate fraud or security concerns; to protect a person from serious harm; or as part of a merger, financing, sale, or transfer of business assets, subject to applicable law.
No sale, targeted advertising, or high-impact profiling
We do not sell personal information for money. We do not knowingly use personal information for targeted or cross-context behavioral advertising, and we do not use automated profiling to make decisions that produce legal or similarly significant effects concerning a person. If our practices change, we will update this policy and provide any notice, consent, or opt-out choice required by law before using information in the new way.
Retention
We keep information only as long as reasonably necessary for the purpose collected and for legitimate business, accounting, tax, safety, security, dispute, agreement-enforcement, and legal obligations. Retention depends on the type of record. Transaction and signed or acknowledged agreement records may be kept longer than routine messages. Marketing information is kept until you unsubscribe or it is no longer needed. We periodically review information and delete or de-identify it when it is no longer reasonably needed, subject to backup cycles and legal holds.
Security
We use reasonable administrative, technical, and organizational measures intended to protect information. No website, transmission, storage system, or third-party service can be guaranteed completely secure. Use a unique password, protect your devices, and contact us promptly if you believe your account or information has been compromised.
Sensitive information and consent
Information voluntarily shared during a spiritual or metaphysical interaction may reveal personal beliefs or other sensitive details. We collect and use sensitive information only when reasonably necessary for the requested interaction and with clear affirmative consent when required. You may decline to share unnecessary details or withdraw consent, subject to information we must retain for a transaction, safety, agreement, or legal obligation. We do not require or retain uploaded government-identification copies.
Your choices and privacy requests
You may ask us to confirm whether we process your personal information; access, correct, receive a portable copy of, or delete information we hold about you; withdraw consent where processing depends on consent; unsubscribe from promotional email; or opt out of any data sale, targeted advertising, or high-impact profiling if those practices are ever introduced. Some information may be retained or a request may be limited when reasonably necessary to complete a transaction, protect security, keep legally required records, establish or defend claims, or comply with applicable law.

We may ask for limited information to reasonably verify your identity before accessing, correcting, copying, or deleting account-specific information. We will not disclose sensitive or account-specific information through an unsecured text message. You do not need to create a new account to make a request.
When applicable law provides these rights, we will respond within 45 days. If reasonably necessary, we may extend the response period once by an additional 45 days and will notify you during the original period with the reason for the extension. Requests will be handled without charge up to twice per year unless applicable law permits a reasonable fee for a request that is manifestly unfounded, excessive, or repetitive.
If we decline a request, we will explain the reason and provide appeal instructions when required. You may appeal by replying to the decision or using either request method above and stating “Privacy Appeal.” We will provide a written appeal response within 60 days when applicable law requires it. Authorized-agent requests will be handled as required by applicable law.
Children’s privacy
The website is not directed to children under 13, and we do not knowingly collect personal information online directly from a child under 13. A parent or legal guardian must complete purchases, bookings, and consents for a minor. Contact us if you believe a child submitted information without appropriate permission.
Third-party links and embedded content
Linked or embedded websites may collect information under their own policies. We do not control their privacy or security practices. Review the provider’s terms before submitting information.
Data breach notification
If personal information is affected by a security incident, we will investigate and provide notices to affected individuals and government authorities when required by applicable law.
Changes to this policy
We may update this policy as services, technology, or law changes. The updated date will appear above. Material changes will be communicated when required by law.
